We are looking for a Payroll Coordinator who will work with the Covalen Solutions team and will be responsible for all aspects of Cafeteria, Payroll and Social Security within the company.

Necessary skills and experience:
• At least B2-C1 level of English both in verbal- and written communication
• At least 2-3 years of experience in wage- and social security administration
• Experience with administering working hours, overtime and allowances
• Proficiency in Excel
• Proactive and solution-oriented personality.
Your tasks will be…
Managing all things related to Cafeteria:
• Maintaining Cafeteria Policy and tracking Cafeteria usage;
• Collecting employees demands on Cafeteria elements;
• Handle all Cafeteria declarations in the beginning and during the year;
• Handle new hires proportional declarations and calculate proportional Cafeteria entitlements for leavers;
• Communicate to all staff in Cafeteria and Social Security and Payroll related cases.
Using our Time Management System:
• Marking TMS Anomalies and reporting them to Supervisors every week; closing TMS after all anomalies corrected;
• Checking all sick paper administration in TMS and provide all sick paper to external payroll supplier;
• Handle all additional payment administrated in TMS;
• Handle TMS Unlock requests;
• Performing a headcount check every month based on Nexon and TMS.
Keeping in contact with our External Payroll Supplier:
• Processing and providing all necessary data (including clock data), Excels and documents to the external payroll supplier before the deadline;
• Providing all necessary corrections to external payroll supplier and checking if the corrections has been completed;
• Preparing contract modifications from Nexon as well as overtime and on-call Excel and providing it to the external payroll supplier;
• Providing all information to the external payroll supplier about leavers;
• Handling transfers, tax benefit documents, mid-month payroll and providing these as well to the external payroll supplier;
Additional tasks:
• Keeping in contact with Long-term absence Employees, managing their TMS data and calculating their holidays;
• Calculating Work Time Cycle 1 overtime hours every month, Work Time Cycle 3 overtime hours quarterly and Calculate WTC overtime to all leavers;
• Preparing reports according to the Managers’ needs;
• Ensuring all deadlines are met with respect to processing payroll and tax compliance;
• Ensuring payroll results are posted on time and accurately within the financial accounting records;
• Resolving occurring issues, handling employees complains and problems using the relevant tools and systems;
• Working to achieve individual and team goals, attending team meetings;
• Comply with and complete desk specific or ad-hoc request/tasks;
• Observe strict compliance to licensing, copyright and trademark legislation
• Communicating concerns with the Finance Manager;
• Following the internal and external guidelines to ensure proper monthly cafeteria, social security, payroll and reporting;
• Know and use Cafeteria and Payroll Tools on a day-to-day basis.
