Job Description

Administrator:

•Be the first point of contact for all Clients

•Ensure that all callers and customers are taken care of and that a good business image is given to the public

•Manage the reception desk and co-ordinate boardroom bookings

•Answering all incoming calls in an efficient, timely and professional manner

•Accurately record and distribute telephone messages

•Greeting all visitors to the office in a friendly and professional manner

•Organise couriers, manage and track deliveries, sort and distribute the post

•Maintaining and updating postal records and administration

•Provide wireless access for guests onsite

•Organise lunch, refreshments for meetings as required

•Ensure that the reception, meeting rooms, boardroom area is welcoming and reflects our brand values

•Data entry

•Managing documentation and filing system

•Ordering stationery

•Assistance with Agency administration duties including updating online property listings

•Assistance with compiling and or producing meeting documentation and client communication

•Other duties between Agency, Property Management, Valuation and Accounts departments as required

 

EXPERIENCE

•Previous experience as a Receptionist, Administrator in an office environment is desired

•Customer Service, Client-facing experience

•Must have a strong administration background

 

SKILLS

•Excellent communication skills

•A strong command of the English language both verbal and written

•Self-motivated with exceptional organisational skills

• Excellent personal presentation

• Good time management with the ability to multitask and work to deadlines

• Excellent computer skills with experience in all Microsoft Office packages, especially Outlook, Word, Excel and Powerpoint

• Ability to interact with clients in a professional and courteous way

• Proactive and dependable

• Articulate, confident and enthusiastic with a helpful approach
